Data Protection Act
This policy statement is designed to give a clear explanation of our data processing practices for our e-recruitment site.
The Data Protection Act 1998 ("the Act") sets out certain requirements for the protection of your personal information against unauthorised use or disclosure. We are registered with the Information Commissioner as a data controller under the Data Protection Act 1998 and comply with the data protection principles.
Except to the extent we are required or permitted by law, the information that you provide during the course of your registration and any applications you make ("the information") will be used solely for the purposes of processing your application, for internal record keeping and audit purposes and (if you choose to register for job alerts) to provide you with details of vacancies that match your selected criteria. We collect information that is necessary to process your application including your name, address, contact phone number/s and email address.
If your application is successful, the information will form part of your employment file and we will be entitled to process it for all relevant purposes in connection with your employment.
If your application is unsuccessful or you choose not to accept any offer of employment we make, the information will not be held for longer than necessary, after which time it will be destroyed, with the exception of certain information provided in the diversity monitoring section of an application form, which we will retain in the longer term to facilitate diversity monitoring.
We are bound by the Civil Service Commission Recruitment Principles, which require us to retain data relating to each recruitment exercise for two years from the end of the financial year in which it was completed.
If you choose to register for email alerts about future vacancies your email address will be used solely for the purpose of providing you with details of vacancies that match your selected criteria. We do not sell or pass on your details to any other organisation, or use them for any purpose ourselves without your consent.
Under the Act you have the right to request details of your personal data that is held or processed by us. Any such requested should be submitted in writing to us at firstname.lastname@example.org or Meadowbank House, 153 London Road, Edinburgh, EH8 7AU and marked for the Data Protection Compliance Officer.
In line with the Data Protection Act 1998, I agree to this information being held securely and used only in processing my application.
